Dear Sir or Madam,

I would like to introduce myself as the Director of the Dealer’s Room. John O’Reilly and Nancy Waymon are still involved. Nancy and I will be responsible for handling all pre-convention set-up and questions. John will once again assist you throughout the actual convention. We all hope you will join us for Archon 23!

Archon 23 will be held October 1-3, 1999 at the Collinsville Gateway Convention Center. Last year, Archon attracted just under 2000 fans. Our average attendance is between 1700-2000, although our attendance figures have been rising over the past few years.

During the last several years, I know there have been some difficulties with the Dealer’s Room. Lack of space and diversification being two that I am aware of. To help coordinate the requests for the limited space, I am formalizing the convention’s Dealer Policies. We have already received verbal requests for more dealer’s tables than are available. Therefore, only written submitted requests for vendor space in the Dealer’s Room will be honored.

A Dealer’s Room Space Request Form has been included with this letter. On the form you will find the maximum number of tables available to you. This number is firm until the deadline of August 31, 1999. (At that time if any tables are still available, anyone expressing an interest in additional tables will be contacted.)

Dealer tables for Archon 23 are priced as follows: $60 for the first 8' table, $70 for the second table, and $85 for the third. NO memberships are included in table prices, and all workers must have a valid convention badge. Dealers can receive a special membership rate of $25/person if sent in with the table space payment before August 31, 1999. If paid separately, the rate in effect at time of membership payment will apply.

The Dealer’s Room will once again be located in the Collinsville Gateway Convention Center, and it will have full access through one of the back loading bays for setup and tear down. A tentative schedule of Dealer’s Room hours is listed below. If you reserve tables, you must be on site by noon on Saturday to claim them. If we have not heard from you by then (if you have problems, call us at the convention center), your table(s) may be forfeit without a refund. We also request you leave no earlier than noon on Sunday. Please plan to have your table(s) staffed throughout the convention. Archon is not responsible for anything that may be lost or stolen.

If you are interested in sponsoring gaming tournaments or promoting specific games, please let me know; and I will put you in touch with the Gaming Director (Jon Bancroft). Acknowledgments can then be included in the convention program book.

To ensure your request for dealer space is promptly received and your tables reserved, please mail the completed Dealer Space Form with payment to Archon by May 31, 1999 (when the first round of tables will be assigned). You will receive a confirmation notice from Archon when your request form has been received. Once the Dealer Space Request Forms have been reviewed and Dealer tables have been assigned, you will receive a letter confirming the number of tables that have been assigned to your business. At this time your check or credit card will be processed. If you send in your request to Archon without payment, we will not be able to process your request. There will be an additional mailing in June to keep you up-to-date. We also offer the opportunity to place a business card sized advertisement in our PR #2 which will be mailed in late July. Your cost for the advertisement is $35, and the general circulation of our PR is around 3500 individuals.
